How to use the Agenda, Private and Draft Flags for Runsheet Activity

When creating any runsheet activity within 1pm, there are three flags that can be set for each line of Activity. Combining these flags when creating Activity in 1pm provide powerful options for the display and visibility of the runsheet to Crew members.

Important: In order to view and set the Activity Flags (Agenda, Private, Draft) you should not be in Compact mode which will hide these fields.

Also, to make your life easier you can use the Bulk Edit mode to bulk change Activity, for example switching off the Draft flag for all Activity rather than doing this one by one.

Activity Flags

Agenda

Activity flagged Agenda will appear in the Agenda section of the Event Portal. Typically the Agenda is designed as an overview of the Activity of the event, and can be used for the guests of an event, or for a general overview of the main activities taking place.

Agenda information is normally public in nature, for example it is to inform guests of the activities taking place. Agenda is always a subset of the runsheet (only some items are flagged Agenda from all the Activity).

This means that Activity acts as a single source of truth for both the Agenda and Runsheet, reducing duplication of information and potential errors.

Private

Activity flagged Private will only appear on that Crew member’s runsheet. This is very useful feature to hide private activity from other crew members, for whatever reason (need to know basis, internal use only, confidential etc.)

Draft

Activity flagged Draft will only be visible to Admin users in the Admin area. Draft activity will never show on any crew member’s runsheet. If Activity is not appearing on the runsheet as you expect, be sure to check that it has not been set to ‘Draft’.
