Events Guide
Creating a new event is the first step in ‘getting started’ with 1pm.
All Events are contained within the current Space context. You can create multiple Spaces (Workspaces) that hold multiple events.
To create a new Event, click on the Event Tab within Admin.
Click Add/Save to start setting up your new event.
Here are the available fields, with some comments:
Event Name
This will show everywhere within 1pm, on the runsheet and in Event related emails and updates. Make your name as descriptive as possible, The Event name field is a required field.
Tagline
This may appear underneath or side-by-side with the Event Name. The Tagline is a sub event name, and might be inspirational in nature. It could also show the location of the event to emphasise this. Examples of a Tagline might include ‘Dining under the stars’ or ‘The biggest event of the decade’, ‘Brisbanes Biggest Sporting Event’ etc. The Tagline field is optional.
Main Location/Venue
Here you will either select from the dropdown an existing Location from 1pm Contacts, or you can create a new location. The Main Location/Venue field is optional,
Pax
The number of persons attending the event as guests. This field is displayed on the runsheet for Crew members to understand the scale of the event.
Start Time
The official start time of the event, as shown publicly or advertised on the invitation. Individual crew members may have their own official Invite Time set in their Crew record.
Start Date
The offical start dates of the event, as shown publicly or advertised on the invitation. Individual crew members may have their own official Invite Date set in their Crew record. The Start Date field is a required field to add a new event. If the date of your event has not been confirmed, it is recommended you estimate the date and change the date later.
End Time
The official end time of the event, as shown publicly or advertised on the invitation.
End Date
The official end date of the event, as shown publicly or advertised on the invitation.
Organiser Contact Name
This field populates automatically from the main Space owner, and is shown on the runsheet.
Organiser Company
This field populates automatically from the main Space owner, and is shown on the runsheet.
Organiser Email
This field populates automatically from the main Space owner, and is shown on the runsheet.
Organiser Phone
This field populates automatically from the main Space owner, and is shown on the runsheet.
Event Token
This field is the security token used to validate access to the runsheet event. This field cannot be changed, however you can generate a new Event Token for security reasons noting that this will invalidate or prior links. Contact 1pm Support if you are unsure of when to use this feature.
Runsheet Token
This field is the security token used to validate full access to the runsheet. This field cannot be changed, however you can generate a new Event Token for security reasons noting that this will invalidate or prior links. Contact 1pm Support if you are unsure of when to use this feature.
Inactive
Setting an Event to inactive is required within 1pm to free up more space for additional Active events. Inactive Events cannot be edited or accessed by Crew members.
Blurb
This is your text blurb or description of the event that will show on the runsheet and other forms of communication such as onboarding emails. The blurb might contain a description of what the event is all about, or it might just contain safety or compliance information for Crew members (drawing attention to important or current safety aspects). The Blurb field is a text field only and is limited to 200 characters.
