Using Space Attachments Manager to add Files & Links to Runsheet Activity

Attachments in 1pm allow Admins to maintain a library of both file attachments and links to associate with the Runsheet.
Purpose of Attachments
Attachments are what makes 1pm come alive in terms of providing Crew with all the supplementary information, training guides, compliance documents and procedures relevant to each Runsheet Activity.
The first concept to understand is that within 1pm you can upload a file such as a PDF as an Attachment, but you can also add links which are even more powerful because that might include links to surveys, forms and other cloud based services.
This combination of being able to add actual files (PDF’s and images) in addition to external links provides an almost unlimited scope to supplement and connect the digital runsheet with other information sources and services (far exceeding the capabilities of a printed runsheet).
Add Files (Image or PDF)
1pm supports addings files such as images and PDF’s that can be attached to Runsheet Activity. File attachments are physical files which you create and upload from your computer or device.
File attachments can include JPG images, PNG images and PDF’s (Adobe Portable Document format). It is worth noting that you can easily convert a Microsoft Word or Microsoft Excel document to PDF format using the export or save as features within the application.
Add Links (URL’s)
This is where your imagination can really run wild! Links can be added to your library to any other URL, which could be:
Google Forms - For surveys, feedback, and registrations.
Dropbox - To share and collaborate on documents and files.
YouTube - To link to promotional or instructional videos.
Google Meet/Teams/Zoom - To provide meeting links for virtual events.
Google Maps - To offer directions to event locations.
Eventbrite - For ticket sales and event registration.
Google Drive - To access company hosted shared documents and spreadsheets.
Slack - To facilitate communication and coordination among event team members.
SurveyMonkey - For detailed surveys and data collection.
RosterElf/Deputy/ConnectTeam - For rosters and shift management.
Asana - To manage tasks and project timelines.
Twitter - To link to event-related social media updates and hashtags.
Bear in mind, these are just suggestions (not integrations as such). With 1pm you can link to anything external, so it’s unlimited in scope.
Describing & Renaming Attachments for Clarity
When adding Attachments (Files or Links) 1pm allows you to describe these files in more detail. It is recommended that you use a very clear and consistent naming convention (for example all caps). You may find that not including the file extensions provides a cleaner more streamlined experience for crew.
You can rename the attachment after you have added it to the library to make it clearer to the Crew member what the attachment is.
Here is an example of how you might rename an attachments to make the purpose easier to understand:
PublicLiability2025Form.pdf > Public Liability Declaration (Required)
Remember: 1pm acts as a Library
Remember that within 1pm you only have to upload a file or link once, it is then available to all Admin Space Users to associate through the Attachments feature with all other Activity within the Space.
So you can think of Attachments as actually ‘Space Attachments’ and you can contain all the files and links within your Space for easy association for current and future events. One example of this might be parking instructions for the venue, which you could attach to future events (rather than recreating it each time).
Adding an Attachment (File/Link) to Runsheet Activity
Once you have added the files or links to Space Attachments, you can associate any number of Attachments to an individual Runsheet Activity.
Please note: You need to be out of Compact Mode to add Attachments to runsheet Activity.

While out of Compact mode, click the ATTACH button to attach and associate a previously uploaded Attachment (File or Link) to the individual Runsheet Activity.
You can select and attach multiple attachments at the same time within the Attachment manager.
Select 1 or more Attachments and click ATTACH within the Attachment Manager.
Next, decide on the Visibility of the Attachment in terms of who and where this Attachment should be visible.
Be default, all Attachments added to Runsheet Activity are only visibile to Admin users in the Admin Area. You must specifically click on the visibility shown below to change the visibility to a wider scope (for example to show on the runsheet for Crew). This is by design, so you don’t accidentally show confidential documents to crew members without specifically setting this.

Crew Portal Attachments Display
Attachments that have been set to ‘Runsheet for Everyone’ or ‘Agenda & Runsheet for Everyone’ visibility or ‘Runsheet for Assignees Only’ and that Crew member is assigned the Activity will display on the Crew portal next to the Activity as shown below:
