Admin Invite New Space User
As an Admin user, you may wish to invite other Administrators to the Admin Area to manage the event. This would normally be other event organizers or internal staff. It is unlikely you would invite a supplier or third party to access the Admin area of 1pm (this goes without saying - but it’s worth mentioning!).
Invite only trusted persons within your organization to act as a Space User, as they will have full access to all information within the Space. Crew will only have access to their personalised crew portal via their individual links.
To invite a new Space User navigate to ADMIN > SPACES & USERS > SPACE USERS > INVITE SPACE USER:

There is currently only one Space User type ‘Space Editor’. This type of Space User can edit all Space data across all Events, but cannot create new Space Users. Only the original Space owner can invite new Space Users.
When you click on the CREATE & EMAIL INVITE button 1pm will immediately invite that person to join the Space via an email address entered in the Email field. You can also track the email using the Track Emails if they are having issues receiving the email invite.
How Joining Spaces Works in 1pm
In 1pm, everything belongs to a Space (a shortened name essentially for ‘Workspace’). How you setup and manage Spaces within 1pm is entirely up to your imagination. Some of our users only ever use one Space, whereas others create and use a separate Space for each event, or in the case of an event agency perhaps. for each of their clients.
Admin Space Users need to be invited to join the Space, and if they have an existing 1pm User Account they can simply login with this and accept the invitation. In most cases though, the Space User will need to create a new 1pm User Account by following the prompts.
Please note: Crew members using 1pm do not need 1pm User Accounts, as they access everything via a ‘magic link’ or in other words, a special URL which effectively contains their unique token granting them access to the view the page without the need to login.
Space User Joining Link
The invite link sent to the invited Space User contains a unique code that gets stored in the browser, so when that user hits the home page of the 1pm Application, they are ‘joined’ to that new Space. That’s why users using 1pm Space User invitations should always use the same browser they clicked the invitation URL (otherwise the Space User will not be joined to the invited Space).
Once the 1pm User has either signed into their 1pm User Account at au.1pm.app or created a brand new 1pm User Account, they will be redirected to the 1pm home page (au.1pm.app) where they will need to verify their email address and also accept the terms and conditions.
Switching to the Newly Joined Space
Once logged into 1pm Admin, the user will not immediately see the new space they have been invited to. They will need to open the Space & Users screen, and access the Shared Spaces tab. From there, they will see all the Spaces shared with them via user invites.

The SWITCH button is used to switch that Space User to the context of that Shared Space. In other words, by switching to another Space the Space User will be restricted to all the information that belongs to that Space (aka Workspace).
When a user is initially invited as a Space User to join a Space, they will need to open up Spaces & Users and SWITCH to that new Space (to starting using that Space).
A final word on Space Users from a security aspect, please make sure you remove access for the Space User if that employee, team member or staff member no longer works for your organization - by using the Revoke button.
